OASIS is designed to automatically archive cut sheets, known as a “virtual” archive, based on their age. This feature assists users with keeping the cut sheet library up to date. By default, OASIS will warn users if a cut sheet older than 6 months and automatically archive a cut sheet if it is older than 12 months. Once the cut sheet is archived, it cannot be pulled into a new submittal. Note: this is not a true archive; it is a visual indicator. Cut sheets that have been archived will appear in red text. This article will explain how to change the default warning and archive settings as well as how to update individual cut sheets.
Changing the Default Archive Settings
1. Navigate to the Manufacturers page.
2. Double-click on an existing manufacturer entry to edit it.
3. The "Manufacturer Editor" window will appear.
4. Select the “Terms” tab.
5. Select the “Submittals” tab.
6. Define the number of months for the “Cut Sheet Warning” field and the “Cut Sheet Archive” field.
7. Select "Save and close."
Auto-Archive Scripts
There are scripts that can be run on the database to change the default number of months for all manufacturers. For more information on how to run a script, click here. The following script file options are available:
- Cut sheet warning at 1 year, virtual archive at 2 years: Cutsheet12-24.txt
- Cut sheet warning at 2 years, virtual archive at 4 years: Cutsheet24-48.txt
- Cut sheet warning at 4 years, virtual archive at 5 years: Cutsheet48-60.txt
Updating Individual Cut Sheets
OASIS allows users to update individual cut sheets and reset the age of the cut sheet.
1. Navigate to the Manufacturers page.
2. Select the "Cut Sheets" page from the drop-down list.
3. Select a manufacturer.
4. Select a catalog.
5. Select a section.
6. Double-click on an existing cut sheet to edit it.
7. The “Page Editor” window will appear.
8. Select “Update."
9. The “Update Image” window will appear.
10. Select “Set Current.”
