Creating Customizable Reports in OASIS Online

Customizable Reports provide the flexibility to build reports tailored to your needs. Create reports for quotes, orders, invoices, and payments, with options to view summary or line-level data, apply filters, and select the fields to include. You can also save your reports for future use and share them with others.

This article explains how to create a Customizable Report in OASIS Online.

Requirements:

  • User must have Reports access to the data source you want to use, such as quotes or orders.

 

Setting Up the Report

1. From the Home page, click Reports, then select Customizable Listing Reports

Note: You can also open the report builder from the Reports menu on the Project, Order, Invoice, and Payment listings, and from the Worksheets menu on the Reports listing.

 

2. At the top of the report, select the report's Data Source: Quotes, Orders, Invoices, or Payments.

 

3. Select a Report Style:

  • Detail reports summarize each transaction as a whole. They include header-level information such as IDs, totals, status, and other general details, but cannot report on information stored for individual items in the bill of materials.
  • Line-level reports include all of the header-level information available in Detail reports, plus information for individual items. This allows you to report on fields such as part numbers, quantities, product descriptions, line notes, per-unit pricing, and other item-specific details while still including header details for reference.

 

4. Under Details, enter a name in Report name.

 

5. To share the report with other users, click Manage access

 

In Manage Access, select which users can print, edit, or view the report from the Reports menu on the OASIS Desktop Home page.

 

Building the Report

Use the tabs in the Report Builder to define the report's parameters:

 

As you build the report, your selections will appear under Current Selection on the left. This section also shows the approximate number of records included in the report and lets you clear all selections and start over.

 

Select Tab

Use the Select tab to define which transactions to include in the report. 

Choose fields from the categories on the left, or use the search bar to find a field.

Tip: Select at least one timeframe to narrow the report results. You do not need to make selections in every category. 

 

Group Tab

Use the Group tab to group transactions by a common value, such as status, and produce subtotals. We recommend using only one group.

Available groups are listed on the right. The field used for grouping also becomes available for filtering on the Filter tab. 

You can modify a group using the following options:

Adjust Value

When available, Adjust Value changes dollar amounts so they represent only the portion associated with the selected group.

For example, if you group by Manufacturer, selecting Adjust Value changes amounts to reflect the portion of each transaction assigned to that manufacturer instead of the full transaction total.

Important: Depending on the report, leaving Adjust Value unchecked may result in inflated values. 


Page Break

Select Page Break to start each group on a new page when printing the report. This can make grouped information easier to separate but may increase the report's page count.

 

Sort Tab

Use the Sort tab to sort the report by a specific value. If the report is grouped, the sort is applied within each group. 

Available sorts are listed on the right. You can set each sort to ascending or descending order.

 

Filter Tab

Use the Filter tab to limit your Group fields to specific values.

After adding a filter, select the specific values you want to include using the available field.

 

Layout Tab

Use the Layout tab to choose which fields appear as columns or rows in the report. Some fields are included by default. Default fields can be removed.

To remove a field from the report:

1. Select the field.

2. Click the Delete icon. Alternatively, drag and drop the field into the Available fields section.

 

To change the page orientation, select Portrait, Landscape, or Legal. The total report width, used space, and available space will appear to the right.

 

Adjust column and row widths as needed. If the report exceeds the available width, the excess amount appears in red.

 

Tip: Click Print Preview in the bottom toolbar to quickly check whether a field needs more or less space.

 

To print only the report's grand totals, select Show Totals Only. Transaction details and grouped subtotals will not be printed.

 

Downloading and Saving the Report

Reports can be downloaded as PDF or Excel files. You can also save a report for later access from the Reports page.

Download the Report

1. In the bottom toolbar, use Print as to select PDF or Excel.

2. Click Print Preview.

 

3. In the preview window, click the Download icon in the upper-right corner.

 

Save the Report

To save the report, click Create. The saved report appears on the Reports page.
