O4 features two views for projects in O4:
- The Inside Sales View provides full viewing access and editing capabilities for inside sales staff, such as quoters.
- The Outside Sales View provides a limited, read-only view for outside sales staff, such as salespeople.
This article will compare the Inside Sales View and Outside Sales View of a project in O4.
The Inside Sales View
Security Access
Users with create, update, and read security access for Projects can access the Inside Sales View of a project. Users will be automatically directed to the Inside Sales View of a project and can view all phases and bids, including all tabs and columns.
Unique Features
Accessing Phases and Bids
Users with access to the Inside Sales View of a project can access all phases and bids regardless of whether they are active or inactive.
Editing Capabilities
Users will be able to edit projects. Click the edit icon on the General tab of a phase or the Items tab of a bid to make changes.
Users with the quoter role assigned in their user editor will open the Inside Sales View in edit mode each time they open a project.
Switching Between Views
Users are able to switch to the Outside Sales View to review the information available to outside sales staff. To switch to the Outside Sales View, click Views, then select Outside Sales View from the drop-down list.
The Outside Sales View
Security Access
Users with read security access for Projects can access the Outside Sales View. Users can only view one phase of a project at a time. Users can view the Overview, Conversations, Attachments, BOM, and Notes tab, where the Overview tab is a limited view of the phase's General tab and the BOM tab is a limited view of the bill of material in the phase's active bid. While users cannot edit the project from this view, they can add conversations to provide updates to inside sales staff.
Unique Features
PDF Shortcuts
Users can feature PDF shortcuts on the Overview tab of a project phase in the Outside Sales View to allow outside sales staff to access pertinent information, such as a project's fixture schedule. Learn more about creating PDF shortcuts for the Outside Sales View.
The BOM Tab
The BOM tab, or the Bill of Material Tab, displays the type, quantity, manufacturer, catalog/description/line notes, sell amount, and extended sell amount columns for phase's active bid. Admins can hide money on the bill of material for the Outside Sales View, if needed.
The BOM tab contains two subtabs:
- Option Totals- this subtab will show the bill of material organized by option code
- Manufacturer Totals- this subtab will show a summary of the bill of material by manufacturer
