The Order Status Download feature allows users to download order status updates from manufacturers with certified OASIS connectivity. This article will explain how to process order status downloads for Signify.
Requirements:
- Signify connectivity must be configured in OASIS.
- SCAC codes configured on the Carriers tab in Orders Configuration must match the SCAC codes listed in this spreadsheet: Signify SCAC Codes.xlsx (50 KB download)
Note:
- Users can run the Manage Shipping Performance Report and adjust Signify lead times based on the Suggested column in the report.
Downloading Order Status
Users can download all available updates or download updates per order. Once downloaded, OASIS will attempt to apply as many items as possible from the download automatically. When an order status update is successfully applied to an order, the lines are updated to reflect information in the order status download. Order status updates that did not automatically apply will be listed in the Order Download Folder. (See the Processing Unmatched Order Status Updates section of this article.)
Downloading All Available Updates
1. Navigate to the Orders page.
2. Click Signify, then select Download Orders from the drop-down list.
3. A notification will appear stating that the order status is downloading. Once completed, another notification will appear stating that the order status has been successfully downloaded.
Downloading Updates Per Order
1. Navigate to the Orders page.
2. Open an order.
3. Click Tools, then select Refresh Order Status from the drop-down list.
4. A notification will appear stating that the order status is downloading. Once completed, another notification will appear stating that the order status has been successfully downloaded.
Processing Unmatched Order Status Updates
1. Navigate to the Orders page.
2. Click Tools, then select Show Order Download Folder from the drop-down list.
4. The Downloads window will appear. This window will display all the order statuses that did not apply automatically to orders in your system.
5. To process these items, select a line or press CTRL+A to select all lines, then click Tools. Select one of the following options from the drop-down list:
- Create Matching OASIS Transaction- this option will create the PO for which it is designated. If the order already exists in OASIS, do not choose this option.
- Select OASIS PO and Move- this option allows users to search for the order manually and move the copy of the order status to that transaction.
- Move to Related OASIS Transaction- this option automatically searches for the PO and moves the information to the order if OASIS finds it. If not, no action will occur.
- Clean Up (Move to Related)- this option takes all order statuses in the folder and selects the items that it can find automatically.
NOTE: in ALL cases above, an attachment with the order status information will be added to the order. No OASIS transaction or line-level information will be processed. Users will need to apply the information manually.
Manually Applying Shipping Information
Once an order status has been processed, users can apply the shipping information in one of two ways:
- Enter the information manually using the shipping toolbar
- Use drag-and-drop multi-window process
This example will demonstrate the drag-and-drop process.
1. Navigate to the Orders page.
2. Open the needed order.
3. Click Tools, then select View Order Status Downloads from the drop-down list.
5. The Order Status Download History window that appears on the bottom left will display a list of all downloaded order status files. The Transaction Viewer window that appears on the bottom right is the file that is currently open.
6. In the Transaction Viewer, drag and drop the needed information into the lines of the order. The shipping information will be added to the line. Note: to apply the information to a factory item, be sure to add that item before dragging the information. This process cannot be completed if shipping information is already applied to the parent line.
Sending Customer Order Status
1. Once order status information has been updated in the order, click Print.
2. The Print PO window will appear.
3. Set the Output to field to Send Message.
4. Check the Customer Shipping Status box.
5. Click OK.
6. Verify that all information is correct and click Send.
Note: if the customer is set up to receive raw data, an O2O file is attached to the message. Dollar amounts will not show in the order status (shipping) O2O files sent from the representative or manufacturer to an end customer. Only shipping information is sent.
