Creating a Project in OASIS Online

Projects are intended to serve as the largest category of a job. Users can create phases to represent larger sections of the job and create bids to house the bill of material for each phase. Users can also quote multiple customers. This article will explain how to create a project in OASIS Online. 

Requirements:

 

Creating a Project

1. Click the OASIS_Icon.PNG icon.

2. Select Projects from the drop-down list.

3. The Project/Quote Listing page will appear.

4. Click File, then select New Project from the drop-down list.

5. The New Project page will appear. There are five steps to create a project.

Step 1

6. Enter the project's general and status information.

General Information

  • Project Name- the name of the project
  • Phase Name- the name of the phase
  • Bid Name- the name of the bid
  • Location- the city location of the project
  • State/Prov- the state or province location of the project
  • Owner- the owner of the project
  • Spec Registration- this toggle indicates that the project is for spec registration with the manufacturer and allows Specification Registration forms to be sent
  • National Account- this toggle indicates that the job is for a national account
  • External Code- the ID code associated with the job on an external building service website

Status

  • Show on Bid Board- this toggle will display the project on the Bid Board or Bid Board Tile
  • Current Status- the quote's status at the time of creating the project
  • Active- this toggle indicates that the project is an active entry in OASIS
  • File Code- the physical file/folder code for the project

7. Click Next_Blue.png.

Step 2

8. Enter the project's planning and internal information.

Planning

  • Start Date- the construction start date for the project
  • Completion Date- the construction completion date for the project
  • Vertical Market- the portion of the market that the project is in
  • Square Footage- the total square footage of the project
  • Valuation Lighting- the total dollar amount of lighting on the project
  • Valuation Controls- the total dollar amount of controls on the project
  • Valuation- the total dollar amount of the project
  • Specified Project- this toggle indicates that the project is specified
  • Important Project- this toggle indicates that the project is important and is solely used for reporting and tracking purposes
  • Percent Specified- what percentage of the project that the agency is specified on 
    • This can be quantified by the dollar amount of each line item specified out of the total dollar amount for the project or by the number of line items specified out of the total line items on the project. Caution: the manner in which this field is used must be consistent to allow for accurate reporting.
  • Percent Approved- what percentage of the agency's specifications for the project have been approved 
    • This can be quantified by the dollar amount of each line item approved out of the total dollar amount specified or by the number of line items approved out of the total number of specified line items on the project. Caution: the manner in which this field is used must be consistent to allow for accurate reporting.
  • Project Rank- the assigned rank for the project

Internal

  • Quoter- the user assigned as the quoter for the project
  • CSR- the user assigned as the customer service representative for the project
  • Workgroup- the workgroup assigned to the project
  • Resell Company- the resell company assigned to the project for the orders at the quote level

9. Click Next_Blue.png.

Step 3

10. Assign specifiers to the project by clicking Add.png.

11. Click Next_Blue.png.

12. Assign sales accounts to the project by clicking Plus.png.

  • Auto Split Calculation- automatically calculate sale account splits evenly

13. Click Next_Blue.png.

14. Define the project's search tags.

15. Click Create_Blue.png.  Once the project is created, the Bid Editor - Items page will appear.

16. Enter items into the bill of material. Changes are saved automatically. For more information about using bid tools and quick edits, click here.

17. Click  left_caret.JPG to exit edit mode.

Project Tabs

The Overview Tab

Use this tab to review project and phase information.

  • Alias- alternative project names that can be used to search for the project

Phase Tabs

Phases should represent larger sections of the job, such as floors of a building or wings of a hospital.

The General Tab

Use this tab to review phase information. Click Edit_Button.PNG to edit this tab.

The Conversations Tab

Use this tab to create conversations associated with the phase. To learn more about adding conversations to a project, click here.

The Attachments Tab

Use this tab to attach files to the phase. For more information about the Attachments tab in OASIS Online, click here.

Bid Tabs

Bid represent the individual bill of materials for each phase of a job. Users can make multiple bids to make revisions as jobs evolve.

The Items Tab

Use this tab to review the bill of material. Click Edit_Button.PNG to edit this tab.

The Customers Tab

Customers 

Use this tab to add customers and contractors to the bid. To learn more about this tab, click here.

Quote Matrix 

This tab provides quote totals by customer price level.

Manufacturers

This tab provides a summary of the manufacturers that have been entered on the bill of material.

By Option

This tab provides manufacturer totals by option code on the bill of material.

The Notes Tab

Use this tab to enter remarks, internal notes, and external notes. Note: click Apply_Blue.png to save changes.

  • Remarks- print above the bill of material
  • Internal Notes- do not print
  • External Notes- print below the bill of material
